Travel With Sherry ("we," "us") respects your privacy. This policy describes how we handle personal information when you use our website, contact us, or work with us to plan and book travel. It is written to reflect common expectations under Canadian private-sector privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, provincial privacy laws such as Alberta's Personal Information Protection Act (PIPA). What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact details — name, email address, phone number, mailing address, and time zone.
  • Travel planning details — destinations, dates, party composition (e.g. number of travellers, ages of children), preferences, budget range, loyalty program numbers you choose to share, and notes from our conversations.
  • Booking and identity information — as required by airlines, tour operators, cruise lines, hotels, insurers, and other suppliers (for example legal name as shown on government ID, date of birth, gender marker if a supplier requires it for ticketing, passport or other travel document details, emergency contact, and similar fields). We only ask for what is reasonably needed for your trip.
  • Health or accessibility information you volunteer — for example dietary needs, mobility considerations, or pregnancy, when you ask us to arrange special assistance or to share information with a supplier. This type of information is more sensitive; we use it only for the purposes you authorize.
  • Payment-related information — we may receive limited payment details when a transaction is processed (for example confirmation of payment or last digits of a card). Card numbers are typically collected directly by payment systems or suppliers, not stored by us as full card data.
  • Website and technical data — basic server or analytics information such as IP address, browser type, pages viewed, and approximate location derived from IP, to operate and improve the site and to protect against abuse.
  • Marketing preferences — if you subscribe to emails or other lists, your subscription status and related engagement metrics.

How we collect it

  • Directly from you (forms, email, phone, video calls, or messages).
  • From someone who books on your behalf, when they provide your details with your knowledge.
  • Automatically when you use our website (for example through cookies or similar technologies, where used).

Why we use personal information

We use personal information to:

  • Respond to inquiries and provide quotes.
  • Plan, book, change, or cancel travel services on your behalf.
  • Communicate with you about your trip, suppliers, documents, payments, and deadlines.
  • Meet legal, regulatory, insurance, or supplier requirements related to travel.
  • Maintain our records, resolve disputes, and enforce agreements.
  • Improve our website and client experience, and detect fraud or misuse.
  • Send marketing communications when you have opted in or when Canadian law allows us to rely on implied consent (for example a relevant follow-up to a recent inquiry). You can unsubscribe from promotional emails at any time.

Sharing with third parties

Travel booking inherently involves sharing traveller information with suppliers and intermediaries. We share personal information only as reasonably necessary, including with:

  • Travel suppliers — tour operators, airlines, cruise lines, hotels, transfer companies, insurance providers, and other partners involved in your itinerary.
  • Technology and business service providers — for example email, client relationship tools, forms, scheduling, accounting, or document storage, under contractual terms that require appropriate handling of personal information.
  • Professional advisors — lawyers or accountants when needed for legitimate business purposes.
  • Authorities — when required by law, court order, or legal process, or to protect the rights, safety, or property of our clients, our business, or others.

Some of these organizations may process or store information outside Canada (for example in the United States). When that happens, the information may be subject to the laws of those jurisdictions.

Consent and withdrawal

We ask for consent when required, or rely on implied consent where appropriate under Canadian law (for example when you voluntarily provide information to obtain a quote or booking). You may withdraw consent where withdrawal is legally and practically possible, subject to legal or contractual restrictions (for example we may need to retain certain booking records after a trip). Withdrawing consent may limit our ability to provide some services.

Retention

We retain personal information only as long as reasonably necessary for the purposes above, including to meet supplier, insurance, accounting, and legal requirements. When retention is no longer needed, we securely delete or anonymize information, subject to applicable law.

Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Cookies and similar technologies

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Continued use of our services after changes means you accept the updated policy, except where additional consent is required by law.
